Rules and Regulations

1. INTRODUCTION

1.1. FEST - Music Walk With Me (hereinafter: the Event) is a Showcase festival for artists that want to

collaborate with the Film and TV scene or currently have a connection with that industry and want to

reinforce and promote it.

1.2. The Event is a part of FEST - New Directors | New Films Festival (hereinafter: the Festival), which will

have its next edition from the 21st of June to 29th of June, 2025 in Espinho, Portugal.

1.3. Both the Festival and the Event are organized by FEST – Associação Cultural (hereinafter: the

Organizer), a non-profit NGO developing work on film, media and education, established in 2004 in

Espinho, Portugal.

 

2. KEY DATES AND DEADLINES

2.1. FEST — Music Walk With Me call for showcases is open until the 17th of March, 2025.

2.2. The Organization of the Festival will inform the applicants that have been selected for the showcase

by email or phone, latest by the 30th of April, 2025.

2.3. The selected applicants will need to confirm their participation in the Event and indicate the

representative(s) by the 12th of May, 2025 at the latest.

2.4. The notification about selection will be given by the 31st of May, 2025 at the latest.

2.5. The performances will take place from the 25th to the 27th of June, 2025 in Espinho, Portugal, during

FEST - New Directors | New Films Festival.

 

3. ELIGIBILITY

3.1. Professional or amateur musicians and bands can participate, all being placed in an equal position,

and all current music being accepted and respected in the same way.

3.2. The participation of the band/artist depends on the existence of original themes, covers are not

accepted.

3.3. Applications will not be discriminated against in terms of theme, genre, race, creed or any other

limitations, apart from the elements described in these regulations. As such, all submissions will be

analysed with the same rigour and dedication.

3.4. In case of any doubt, each band should seek clarification with the FEST organization. Intentionally

failing to comply with any point may lead to immediate disqualification of the band in question.

 

4. APPLICATION

4.1. The applications will be admitted until the 17th of Marh, 2025.

4.2. Project applications are only accepted when submitted using our form which can be found on our page

www.fest.pt.

4.3. FEST is not responsible for any type of delay in relation to the deadline established for submitting

applications.

4.4. All materials must be in English.

 

5. SELECTION

5.1. The music festival team listens to and evaluates the performances based on their relevance to the

music-cinema connection, originality, technical ability, and composition skill. The motivation to be

a part of this cross-art project will also be taken into consideration.

5.2. The criteria to be taken into account by the selection committee when choosing the bands will be:

Message/content of songs;

Technique/execution;

The posture of the artists/bands, framing in the spirit of the festival.

5.3. There must be a motivation to perform at the Event and connect music to the film and TV scene,

because we will be choosing artists who connect to the two arts, film and music, either through the

creation of soundtracks or by working in the two areas or even showing music projects who are looking

for collaborators in the film scene.

5.4. Any evidence and fraud identified during the election process through social networks will be

discussed and the artist/band in question may be punished and even excluded from the event. The

Festival Organization will take the reflection and sovereign decision of these cases.

5.5. The artists' selection of the Event is made by a selection committee which should not be contacted

directly by the applicants, as such any direct dialogue with the committee can be regarded as an unfair

advantage and can be a strong enough reason for the Organization to disqualify the applications.

The Organization reserves the right not to share information about the chances of selecting

an application during the period of analysis.

5.6. The notification about selection will be given by the 30th of April, 2025 at the latest. All the applicants

will be informed about the selection results via email. The selected artists' list will also be published on

the festival’s website: www.fest.pt.

5.7. The selection committee decision is final, and no correspondence will be entered into regarding the

outcome. Feedback is not guaranteed if your application is unsuccessful.

 

6. ATTENDANCE CONFIRMATION

6.1. After the announcement of the selection results, the selected artists will be provided with the

preliminary schedule of the Event, including the timeframe for the performance.

6.2. The selected artists will be asked to confirm their participation in the Event and indicate the

representative(s) by the 12th of May, 2025 at the latest.

6.3. The representative is eligible for the PARTICIPANTS ENTITLEMENTS described in section 7.

6.4. The attendance confirmation should contain the name of the representative(s) (and the accompanying

person, if applicable), their role in the showcase and contacts. In case of the lack of confirmation

and/or not indicating the representative(s) before the deadline, the Organizer does not guarantee any

entitlements and reserves the right to exclude all the selected but non-confirmed artists from the

Event.

 

7. PARTICIPANTS’ ENTITLEMENTS

7.1. All confirmed artists will be featured in the Festival publications (on the conditions described in detail

in section 8. PUBLICATIONS).

7.2. The declared representative(s) of each confirmed showcase will be granted the following:

Each showcase will receive a contribution of 200,00€;

Each artist will receive a PRO accreditation, which will grant access to the two parallel

festivals, conferences, and networking activities:

Each showcase will also receive one accompanying PRO accreditation (one per showcase, not

per performer);

Each artist will have access to the Networking Dinners on the day of their performance;

Free of charge PRO accreditation, in 2023, giving full access to all the screenings and events

(including industry events) taking place at FEST - New Directors | New Films Festival (all the

credentials' details are described at the Festival website www.fest.pt).

7.3. The Organizer does not cover travel or accommodation costs. The PRO accreditation does not include

catering (i.e. Networking Dinners, that require purchasing a special pass on the conditions described

at the Festival website www.fest.pt).

7.4. If the confirmed representative(s) of the showcase had bought a Festival accreditation on their own

before the selection results were announced, the Organizer will reimburse them the accreditation fee

after the Festival (by 30th of September, 2025 at the latest).

 

8. PUBLICATIONS

8.1. All the confirmed artists will be featured in:

FEST – New Directors | New Films Festival Catalogue, which will be distributed among the

Festival guests, and available for sale in the Festival shop;

The FEST - Music Walk With Me section on the Festival’s website www.fest.pt.

Publications for social media and digital platforms of the Festival, and media.

8.2. The information about the artists' profiles and the visual materials for the publication will be based on

the information and materials submitted in the application. The Organizer is not responsible for any

spelling or grammar mistakes, or wrong information provided in the application.

8.3. Changes requested by the applicants after submitting an application or after the announcement of the

selection results may not be possible to alter, as such the applicant recognizes this at the moment of

completing the submission.

8.4. The Organizer reserves the right to not include all the submitted information in the publications. and

to choose only specific sections to be featured in each publication.

 

9. FINAL RESOLUTIONS

9.1. The Organization is not under any obligation to pay compensation where any change to or cancellation

of the Festival program is caused by circumstances outside our control, namely: war or threat of war,

riots, civil strife, industrial dispute, airline grounding, terrorist activity, natural or nuclear disasters,

pandemics and epidemics, fire or adverse weather conditions and all similar events.

All deadlines and/or agreements set in these regulations or written agreements with the

Organization can be changed.

9.2. All eventual doubts or omissions in the regulations will be solved by the Organizer following rules of

equity and good and fair judgement.

9.3. The application of a project to FEST - Music Walk With Me implies full acceptance and no reservations

regarding the rules and regulations.
